Sycamore Creek offers an in-house catering option, however, an outside vendor may be used with the payment of a $500 Vendor Management Fee. Homemade foods are not allowed. All food must be provided by a licensed catering service. Outside caterers must be fully insured, licensed by the health department, keep food at safe serving temperatures, and provide servers if buffet lines are to be utilized. Failure to meet these requirements will result in the caterer not being allowed into the venue.

Glitter, confetti, Chinese lanterns, and sparklers are not allowed. Only flameless candles may be used on the Sycamore Creek property with one exception; open flame candles may be used on the concrete patio at Shiloh Ridge. No pushpins, nails, screws, staples, tacks, glue, other adhesive material, or chains may be used anywhere in the barn, on trees, on chairs, or in landscaped areas. Zip ties and twine are preferred methods of attaching decor. Command strips are not allowed on painted walls but may be used on barn-wood surfaces. Smoke effects, explosives, or pyrotechnics by applicant, applicant’s vendors, or guests are not allowed.

Private event rentals allow for 4 hours of access to the venue. Setup and clean up must take place within the rental time. Birthday parties allow for 2 hours of access to the venue.
Additional time may be added on for an added fee.

Sycamore Creek’s venues can accommodate a variety of guest counts.
- The Heartwood Barn can host up to 200 people.
- The Gathering Place can accommodate up to 125 people.
- Shiloh Ridge can accommodate up to 100 people.
- Birthday party packages accommodate up to 24 people.

Private event applicants must tour the venue before booking. Once a tour has been completed, a signed contract and nonrefundable save-the-date retainer payment are required to officially save your date. Birthday parties require full payment of fee to reserve the date.

Events can be booked no further than 18 months in advance of the event date. Events booked more than 120 days prior to the event date at the Heartwood Barn and Shiloh Ridge venue locations will be booked at the full day bridal rate rather than the private event rates. Pricing is subject to change without notice.

Approximately half of the venue rental fee (serving as your nonrefundable, nontransferable save-the-date retainer) will be due at the time of booking for a private or non-profit event. The remainder of your venue rental fee, as well as any add-ons will be due 30 days before your event. A $300.00 refundable security deposit will also be added to your final invoice.
Full payment is required upon booking for birthday party packages.

All save-the-date retainer payments are nontransferable and nonrefundable. If an event is canceled or postponed six or more months before the event date, a refund of the venue rental fee (if already paid) minus the save-the-date retainer will be given. If an event is canceled or postponed four months or less prior to the event date, the couple will forgo a refund and be responsible for paying the remainder of the venue rental fee.

Sycamore Creek’s venue management team will be on-site during the entirety of your event to handle venue-related tasks and issues. They will place your tables and chairs, restock the bathrooms, take trash to the dumpster, break down tables and chairs, and deep clean the venue at the end of the night. Event staff will help with bussing tables in conjunction with our in-house catering partner only when our in-house catering partner is used. Event setup and tear-down is the responsibility of the applicant or their hired vendors.

Sycamore Creek clients are responsible for removing all personal items, decor, leftover food, additional event items, signage, and floral by the end of the rental time. If using an outside caterer, client is responsible for making sure kitchen is cleaned according to the standards of our in-house catering partner.

All cars must be removed from the property by the end of the rental period. If any guests have been drinking and do not want to, or should not, drive back to their lodging accommodations at the end of the night, cars may be moved to the cul-de-sac outside of our front gate. This will allow guests to come back the following day to pick up their vehicle without a staff member needing to be present to unlock the front gate.

For events of 100 guests or more, security guards must be hired through the Taney County Sheriff’s Office to be present for your event.
Beer, wine, champagne, seltzers with an alcohol content of 6% or less are permitted. Up to three mixed drinks with hard liquor are allowed if security guards are hired (regardless of guest count) and special event insurance with host liquor liability coverage is purchased with Sycamore Creek added as an additional insured. Tailgating, kegs, doubles, and shots are not permitted.
One of three approved bartending services must be used if you would like to have a bar at your event - Simply Delicious, Shaker’s Mobile Bartending, or Sycamore Creek.
